Booking Terms & Conditions for Simgill Farm Cottages

The following terms and conditions apply to bookings made for Barn Court Cottage, Meadow View Barn and Gill Side Barn:

Price

The price payable is for the amount of nights confirmed in your chosen accommodation detailed on your booking form. The price paid includes bed linen, towels, electricity, heating and vat. We give one basket of wood ex gratia any additional bags of wood £5.00 per bag.

Deposit, Balance and Security Deposit

A non refundable deposit of 20% of the total price is required at time of booking when booked more than 8 weeks from arrival date.
The remaining balance is due 8 weeks prior to arrival date. Payment of the balance should be made by bank transfer, cheque, credit/debit cards are accepted and incur a 2.75% surcharge, paypal is also accepted with a 3.5% surcharge.  Failure to pay the outstanding balance amounts to cancellation and we are entitled to re-let your accommodation.


If a booking is made less than 8 weeks to arrival date payment in full is required for the whole of your stay.

Security Deposit

A £200.00 security deposit will be added to your final balance. This is refundable within 14 days from departure date subject to no damages and breakages, occupancy, extra cleaning, smoking.  If charges were to exceed this amount then you remain liable for the balance.

Bookings

We do not accept bookings from anyone under the age of 18 unless accompanied by adults.

Arrival & Departure

Your accommodation will be available to you from 3.00 p.m

You are required to vacate by 10.00 a.m. on departure day. If you fail to do so we reserve the right to charge for any loss we incur as a consequence of this.


The accommodation must be left in a clean and tidy condition and we reserve the right to charge you if in our opinion the accommodation requires additional cleaning than would normally be expected.

Damage, Breakage and Loss

We acknowledge accidents on occasions do happen but we expect that you will take care whilst staying at one of our cottages. All damage, breakages and loss must be notified to us immediately.

You are liable for the cost of all damage, breakage and loss.


The cost will be deducted from your security deposit or charged separately. If damage is found after your departure we will notify in writing as soon as is possible. We also reserve the right to charge if we are unable to re-let the accommodation as a consequence of the damage.

Maximum Occupancy

Each property states its own maximum occupancy both on the websites/brochures. Maximum occupancy must not be exceeded. Anyone in breach of this policy will render you liable for extra charges on a pro rata basis. We also reserve the right to ask you to leave immediately.

Smoking/Drugs

We run a strict no smoking policy in our cottages/barns and if we find guests have been smoking in the accommodation then we reserve the right to ask you to leave immediately. Whether you are asked to leave or not we also reserve the right to charge extra if we are unable to re-let until the property is fully aired. You will be notified in writing as soon as possible if evidence of smoking is discovered after you depart.

Pets

We do not accept pets in any of our accommodation. If pets are brought we reserve the right to ask you to leave immediately. You will not be entitled to a refund for the balance of your stay.

Confirmation of booking

By submitting an enquiry via the internet you will receive an automated booking summary by email to the email address you provide when enquiring. This form does not form a contract between us. A contract will only apply when your booking is confirmed in writing by email. Until such time the booking is confirmed it is deemed a provisional booking and can only be held for a maximum of 7 days.

Payment

We can accept bank transfer or cheques, cash, paypal and credit/debit cards (paypal and cards do incur a surcharge)

Cancellation by you

If a cancellation is made before 8 weeks from arrival you will lose your deposit but will not be charged for the remaining balance of your booking.


If you cancel 8 weeks or less before arrival date, fail to check in (no show) or decide to leave before your departure date we reserve the right to retain the full balance of the booking.


It is recommended you take out travel insurance which provides for cancellation cover.

Cancellation by us

In the unlikely event we have to cancel your booking we will attempt to offer you alternative accommodation. If suitable accommodation is not available or acceptable to you then we will refund all monies already paid by you and confirm that you will not be liable for any further payments to us. In any circumstances where you are entitled to compensation, the limit of our liability to you arising from our breach of contract will be up to a maximum of the cost of your booking. If suitable accommodation is available then this will not be regarded as breach of contract on our part and no compensation will be payable in those circumstances.

Amendment by us

If you have booked specific accommodation we will try to ensure that this accommodation is available to you. We do, however, reserve the right to change that accommodation. If the change is not acceptable, you have the right to treat the booking as being cancelled and we will refund all monies already paid by you and confirm that you will not be liable for any further payments to us. In any circumstances where you are entitled to compensation, the limit of our liability to you arising from our breach of contract will be up to a maximum of the cost of your booking. If suitable alternative accommodation is available then this will not be regarded as breach of contract on our part and no compensation will be payable in those circumstances.

If you accept the new accommodation and the new accommodation is normally charged at a lower rate, then the difference will be deducted from the final balance due from you (or refunded to you in the event that the final balance has already been paid). If the new accommodation is normally charged at a higher rate then you will not be charged the difference. This is the limit of our liability to you in these circumstances.

Our liability

We do not accept any liability for damage to your property or injury to you or any other members of your party whilst on our premises.  

When you or any of your party are in the presence of the Alpacas on Simgill farm you do so at your/their own risk we do not accept any liability for damage or injury to you or any other member in your party.

Law

Any dispute between us will be governed by the non-exclusive law of the English Courts.
